US Payroll Coordinator (0077)

The Human Resources department at our Home Office in Toronto is currently recruiting for the position of US Payroll Coordinator , reporting to the Manager, Payroll.

Key Responsibilities:

Payroll
  • Manage the timely and accurate processing of a complex payroll with multiple legal entities
  • Understand federal and state/provincial legislation across all business entities as it applies to employment standards
  • Ensure compliance with all federal, state and provincial related legislation
  • Process all non-automated employee changes
  • Must use discretion while handling highly sensitive and confidential information and adhere to privacy laws and HR best practices
  • Process off-cycle manual cheques as needed
  • Adhere to company policies, procedures and collective agreements where applicable
  • Manage the interfaces between Time and Payroll Systems
  • Understand the correlation between HRIS and payroll, executing the impacts in a timely manner and with the highest level of accuracy
  • Timely preparation of all required payroll remittances for all payroll related accounts and applicable government and non-government bodies
  • Maintenance of payroll procedures manual
Communication
  • Promote and maintain effective relationships with key customers
  • Ability to communicate to all levels of employees, ensuring clarity and understanding of requirements and needs via emails, memos, letters and in-person conversations
  • Prepare and keep up-to-date all payroll documentation and procedures
  • Promote teamwork, values, and cross-functional participation
  • Display and practice honesty, integrity and professionalism
Financial
  • Prepare and balance the biweekly register with payroll input
  • Audit payroll input for accuracy ensuring the validity and integrity of payroll data
  • Balance biweekly payroll general ledger file with payroll data, ensure accuracy in debit and credit (e.g. expense accounts and net clearing account)
  • Identify and resolve any payroll related issues by working with our Finance department.
  • Prepare monthly payroll bank reconciliations
  • Post multiple payroll tax journal entries to accounting system
  • Reconcile and post net payroll clearing entries
Desired Skills and Experience:
  • You have a CPP (Certified Payroll Professional) American Payroll designation
  • You have a PCP (Payroll Compliance Practitioner) Canadian Payroll designation
  • Five or more years of experience performing multi-state/provincial, multi-faceted payrolls
  • Three or more years of experience supporting payroll systems (preferably In-House Payroll Systems)
  • Excellent written and spoken English communications skills
  • Working knowledge of tax remittances and year-end preparation (which includes, W-2, 1099's and/or APA filings)
  • Self-starter with the ability to multitask in a fast paced, deadline driven environment
  • Highly detail oriented, ensuring accuracy and understanding of relationships between all processes
  • Advanced ability to analyze and reconcile data
  • Holds self and others accountable for deliverables and outcomes
  • Thorough knowledge of legislation rules and regulations across all US states
  • Working knowledge of legislation rules and regulations across all provinces in Canada, including Quebec
  • Understanding of laws concerning privacy and confidentiality
  • Working knowledge of UltiPro and/or Workbrain/Infor would be considered strong assets
  • Bilingualism in either French and/or Spanish (written & verbal) would be considered an asset
Technical skills
  • Ability to prepare import/export data for systems
  • Working knowledge of Time and Payroll systems
  • Intermediate working knowledge and experience of HRIS systems and impacts to payroll
  • Intermediate Microsoft Excel skills
  • Accurate and efficient data organizational skills
